ManaNotes was built for New Zealand ACC practitioners, but the parts underneath — the diary, the client record, the notes, the invoicing, and the AI that answers the phone and works the follow-ups — are not ACC-specific. If your work sits outside that, this form is how we find out what would have to change.

Rough numbers are fine. This is how we work out whether the fix is a setting, a feature, or a build.

Whatever the recurring unit of work is for you — sessions, deliveries, rounds, call-outs.
Including paper, a spreadsheet, a shared calendar or a phone that just rings. Naming it tells us what a switch would cost you.

The part we cannot guess. Be specific about what breaks — the detail here is what gets scoped.

What happens now, where it falls over, and what a good day would look like instead.

Which parts would you actually use?

Tick what you need. A short list is a useful answer — it tells us what to leave out.

Group sessions, one-to-one, home visits, phone consults, scheduled rounds, deliveries — and anything about their length, pricing or repeat pattern that a standard 30-minute slot gets wrong.
How do you charge?

The most useful question on this form. ManaNotes bills a session against an ACC claim; almost nobody reading this does.

Who actually pays the invoice?

Tick all that apply — a mix is common and it is the mix that gets complicated.

What has to be written down?

Different records mean different templates, sharing rules and retention — this decides how much of the notes layer carries over.

Xero, Stripe, a POS, a route planner, an existing phone number or booking page.
A funder contract, a professional body, a data residency rule — anything that constrains the answer.

AI agents and phone calls

Mana can answer calls, place them, and run work in the background without being asked. If that is part of why you are here, this is the section that gets it scoped.

Do you need custom AI agents or call handling?

Answering the phone, chasing payments, confirming bookings, calling people back — anything you would rather not do by hand.

Budget and timing

A range is fine, and "not sure" is a real answer. We ask because it decides whether we build for you now or put it on the roadmap — not to price you.
